Generative AI Policy

1 INTRODUCTION

(a) This document sets out the Generative AI Use Policy of OneSkill AI Pty Ltd ACN 686 134 029 (referred to in this Generative AI Use Policy as “OneSkill AI”, “we”, “us” or “our”). In this policy, “you” means any user of the Learning Log application or related services.

(b) This Generative AI Use Policy applies when you use Learning Log, a mobile application developed by us that allows you to record daily learning activities and use generative AI services, such as Google Gemini and from time to time other AI providers, to suggest possible curriculum outcomes and key learning areas (KLAs) and to help summarise and organise learning records. This policy describes acceptable use, data handling, quality control, security and accountability measures relating to the generative AI features of Learning Log.

(c) We may update this Generative AI Use Policy from time to time by posting an updated copy in the Application or on our website. We encourage you to check for updates regularly so that you are aware of the most current version.

2 ACCEPTABLE USE

2.1 Intended use

You may use the generative AI features in Learning Log to support learning documentation and reflection, including:

(a) Mapping activities to outcomes and KLAs
To request suggested links between the activities you record and relevant curriculum outcomes and key learning areas, so that you can more easily find, review and document learning evidence.

(b) Summarising learning activities
To generate short summaries, notes or overviews of one or more activities, which you can then edit, approve or discard.

(c) Organising and reflecting on learning
To help group activities by theme, KLA, outcome or timeframe, and to support your own reflection on a child’s learning over time.

(d) Drafting learning logs and reports
To draft example wording for learning logs, portfolios or progress summaries that you may choose to refine and use for your own records or reporting, where you remain responsible for final content and compliance.

(e) Supporting planning and ideas
To generate ideas for future learning activities or prompts that may connect to certain interests, themes or outcomes, always subject to your judgement about what is appropriate and safe for the child.

These features are intended to assist you. They do not replace your professional judgement as an educator, or your parental or guardian judgement about a child’s learning.

2.2 Prohibited Use

You must not use the generative AI features in Learning Log to do any of the following.

(a) Harassment, bullying or intimidation
Use the system to create content that harasses, bullies, threatens or intimidates any person, including a child, a co parent, an educator, a support worker or any other individual.

(b) Deceptive or fraudulent records
Use the system to fabricate or falsify learning records, reports or evidence for the purpose of deceiving a regulator, school, education authority or any other third party. The tool is intended to assist genuine documentation, not to misrepresent learning.

(c) Discriminatory or harmful content
Generate or reinforce discriminatory, demeaning or stigmatising content about any person or group, including based on age, disability, neurotype, race, gender, religion, sexual orientation or any other protected attribute.

(d) Invasion of privacy
Use the system to pry into or infer private information about another person without lawful authority or consent, or to create content that unreasonably intrudes on a child’s privacy or dignity.

(e) Mental or emotional manipulation
Use the system to create content intended to manipulate, shame, frighten or unduly pressure another person, including a child, co parent or educator.

(f) Violent or threatening content
Use the system to create content that promotes or condones violence, abuse or threats, whether physical, emotional or psychological.

(g) Illegal activities or fraud
Use the system in connection with any unlawful, fraudulent or misleading activity, or to promote behaviour that is illegal in your jurisdiction.

(h) Uploading personal or sensitive information without authority
Upload personal or sensitive information about any person, including a child, without appropriate consent or lawful authority, or in a way that would cause OneSkill AI to receive unsolicited personal information contrary to applicable privacy laws.

(i) Jailbreaking or system manipulation
Attempt to bypass, disable or undermine the safety systems, content filters or guardrails of the AI models or the Application, or prompt the system to ignore its safety instructions.

(j) Use beyond our Terms and Conditions
Engage in any activity that contravenes the Acceptable Use clause in our Learning Log Terms and Conditions or any other policy we publish.

If we reasonably believe that you are using generative AI features in breach of this policy, we may limit, suspend or terminate your access, in line with our Terms and Conditions.

3 DATA POLICY

(a) Data that you enter into Learning Log, including activity descriptions and uploaded content, is stored in our cloud infrastructure, for example Firebase or other storage services we use from time to time, in accordance with our Privacy Policy.

(b) When you use AI features, relevant portions of your input may be sent to AI service providers such as Google Gemini, and possibly other providers such as OpenAI in the future, for the purpose of generating outputs that you request. We take steps to send only the information that is reasonably necessary for that purpose.

(c) Our Privacy Policy is intended to align with the Australian Privacy Principles and, where applicable, GDPR and UK data protection requirements, and it explains how we handle personal and sensitive information, including information about children.

(d) We may review AI generated content and associated inputs where necessary to:

  • maintain and improve the quality and safety of the service

  • investigate bugs, misuse or security incidents

  • comply with legal obligations.

(e) Where we use AI provider services that offer an option to opt out of training on your data, we will do so unless you have explicitly opted in to data being used for training. Any separate opt in for AI training will be clearly explained in the Application settings or our Privacy Policy.

4 QUALITY CONTROL AND LIMITATIONS

(a) The generative AI features in Learning Log are still evolving, and there are important limitations. By using these features, you acknowledge and agree that the following apply.

(b) AI suggested mappings between activities, outcomes and KLAs are suggestions only. They may be incomplete, inaccurate or not aligned with how your local curriculum authority interprets outcomes. You must review, edit and confirm all mappings and wording before relying on them.

(c) The AI models do not fully understand the individual child, their context, or your educational philosophy. Any summaries, reflections, or suggested language are generated from patterns in data, not from direct knowledge of the child. You are responsible for deciding what is appropriate and respectful.

(d) AI outputs should not be treated as professional advice of any kind. In particular, they are not:

  • educational advice from a registered teacher

  • legal advice about compliance with registration or reporting requirements

  • psychological or medical advice.

You should seek advice from qualified professionals where needed.

(e) Curriculum frameworks, registration requirements and reporting expectations can change over time and can differ between jurisdictions. We do not guarantee that any AI generated mapping or wording will be accepted by any regulator or authority.

(f) We may update or retrain our AI related prompts, configurations and integrations from time to time in order to improve performance and safety, however we do not promise that outputs will always be accurate, current or suitable for your specific circumstances.

5 DISCLAIMER

(a) By using the generative AI features in Learning Log, you acknowledge that any suggestions, summaries, mappings or wording generated by the AI are provided for general informational and organisational purposes only. They are tools to assist you in documenting learning, not final or authoritative statements about a child’s education.

(b) To the extent permitted by law, OneSkill AI does not warrant that AI generated content is accurate, complete, up to date or suitable for any particular purpose, including for satisfying regulatory, reporting or assessment requirements.

(c) The AI features are not designed to diagnose, treat, cure or prevent any medical, psychological or developmental condition and must not be used as a substitute for professional advice from qualified practitioners.

(d) You are solely responsible for reviewing, editing and deciding how to use any AI generated content. OneSkill AI is not responsible for decisions you make, or for any consequences, based on your use of AI outputs.

(e) Nothing in this policy limits any rights you may have under the Australian Consumer Law or other laws that cannot be excluded.
